WeChange.AI Ltd
Introduction
At WeChange.AI Ltd, we use artificial intelligence (AI) to support organisational change, technology adoption, and digital transformation. Our goal is to help organisations make better, more informed use of technology while ensuring that AI is used responsibly, transparently, and ethically.
WeChange.AI does not develop or train proprietary AI models. Instead, we make use of AI‑enabled capabilities provided by third‑party platforms and services, which are configured and applied to support our products and services.
This policy sets out how WeChange.AI governs the ethical use of AI within that context.
Scope
This policy applies to the selection, configuration, deployment, and use of AI‑enabled capabilities by WeChange.AI Ltd within its products, services, and internal business activities.
It does not cover the underlying development or training of third‑party AI models, which remain the responsibility of the relevant technology providers.
Our principles for ethical AI use
Transparency
We aim to be open about the role AI plays within WeChange.AI services. Where AI‑enabled capabilities are used, they are intended to support understanding and insight rather than obscure decision‑making.
We do not represent AI outputs as definitive or authoritative conclusions.
Fairness and non‑discrimination
We recognise the risk that AI‑enabled tools can reinforce or amplify bias. While WeChange.AI does not design or train AI models, we take reasonable steps to use AI‑enabled capabilities in ways that minimise the risk of unfair or discriminatory outcomes within our services.
Privacy and data protection
Protecting personal data and respecting privacy are fundamental to our approach.
Any data used in connection with AI‑enabled functionality within WeChange.AI services is handled in accordance with applicable data protection legislation and our published privacy and data protection documentation.
Where third‑party AI services are used, these are selected and configured subject to appropriate contractual, privacy, and security controls.
Accountability
WeChange.AI is accountable for how AI‑enabled capabilities are used within its services.
This includes responsibility for:
- How third‑party AI tools are configured and applied
- How AI‑generated outputs are presented and contextualised
- Responding to concerns or issues raised in relation to AI use
Alignment with platform principles
As a Microsoft partner, WeChange.AI makes use of AI‑enabled capabilities provided through Microsoft platforms and services. In doing so, we seek to align our use of AI with Microsoft’s published Responsible AI principles, alongside our own ethical standards and governance arrangements.
Responsibility for the design and training of AI models rests with the relevant technology providers. WeChange.AI remains responsible for how AI‑enabled capabilities are selected, configured, and applied within its services.
Safety and security
We take reasonable steps to ensure that AI‑enabled capabilities are used securely and appropriately. This includes protecting systems from unauthorised access and reducing the risk of unintended or harmful use.
Human oversight
AI‑enabled outputs within WeChange.AI services are intended to support human judgement, not replace it.
Appropriate human oversight is maintained, particularly where insights or recommendations generated using AI may inform decisions with a material impact. Final decisions always remain the responsibility of people, not automated systems.
Continuous improvement
AI technologies and best practice evolve over time. We periodically review how AI‑enabled capabilities are used within WeChange.AI services and update our approaches and policies where appropriate to reflect changes in technology, regulation, and ethical expectations.
Governance and oversight
WeChange.AI maintains appropriate internal governance arrangements to oversee the ethical use of AI‑enabled capabilities. This includes:
- Considering ethical, legal, and operational risks associated with AI use
- Reviewing concerns or issues raised by customers or stakeholders
- Ensuring ongoing alignment with this policy as part of normal service and business governance
This approach is designed to be proportionate and aligned with WeChange.AI’s size, operating model, and customer expectations.
Training and awareness
We ensure that relevant team members are aware of this policy and understand their responsibilities in relation to the ethical use of AI within WeChange.AI services.
Raising questions or concerns
Customers or stakeholders with questions or concerns about the use of AI within WeChange.AI services are encouraged to raise them via their named WeChange.AI contact or through the company contact details published on our website.
