Navigator Terms of Use (End User) (Version 2)

These Terms of Use (the “Terms”) govern your access to and use of Navigator, a web application provided by WeChange.AI Ltd (“WeChange.AI”, “we”, “us”, “our”).
By creating an account, signing in, or using Navigator, you agree to these Terms. If you do not agree, do not create an account or use Navigator.
1. Who we are
WeChange.AI Ltd is a company registered in England and Wales. Information about how we process personal data is set out in our Privacy Statement and Documentation pages.
2. What Navigator is
Navigator is designed to help users and organisations understand technology use and identify practical resources, learning, and recommendations.
Navigator may present insights and recommendations based on information you submit and the configuration agreed with your organisation.
3. Definitions
In these Terms:
- “Navigator” means the web application and any related pages, features, and content made available by WeChange.AI.
- “Organisation” means the employer or organisation that has commissioned or enabled your access to Navigator.
- “User Content” means information you submit into Navigator, including questionnaire responses and any free-text inputs (if enabled).
- “Shared Submissions” means prompts, examples, success stories, or suggested resources you submit for sharing (for example via a “Learn from Others” feature).
4. Organisational access and authority
Navigator is often provided to you through your Organisation. By using Navigator, you confirm that you are authorised by your Organisation to do so.
If your Organisation’s arrangement with WeChange.AI ends, your access to Navigator may be suspended or removed.
5. Account registration and security
You agree to:
- Provide accurate account information (where applicable).
- Keep your login credentials secure and not share them.
- Notify your Organisation (or WeChange.AI, if instructed) if you believe your account has been compromised.
We may suspend access where we reasonably believe there is unauthorised use, misuse, or a security risk.
6. Acceptable use
You must not use Navigator in a way that:
- breaches any law or regulation
- harms, threatens, harasses, or violates the rights of others
- attempts to gain unauthorised access to systems, accounts, or data
- introduces malware, code, or content intended to disrupt the service
- reverse engineers, copies, or attempts to extract source code, algorithms, logic, or underlying models except to the extent permitted by law
We may restrict or suspend access if you breach this section.
7. Compliance with your Organisation’s policies
When using Navigator, you must follow your Organisation’s internal policies, including (where applicable) acceptable use, information security, confidentiality, and data handling policies.
8. Your submissions and how they are used
Navigator may ask you to submit information, for example:
- how you use technology at work
- time spent on certain activities
- training and learning preferences
- accessibility-related preferences (if included)
Your submissions help produce:
- your own personalised outputs
- insights for your Organisation (for example aggregated or team-level outputs), depending on what has been agreed for your Organisation
Navigator outputs are designed to support reflection, learning, and improvement. They are not intended to judge individuals.
9. Visibility within your Organisation
Where Navigator is provided via your Organisation, your Organisation may have access to certain outputs from Navigator. The level of visibility (for example aggregated results versus individual-level views) depends on how your Organisation has commissioned and configured the service.
If you are unsure what your Organisation can see, ask your internal contact for Navigator.
10. Shared submissions (prompts, examples and resources)
Navigator may allow you to submit prompts, examples, success stories, or suggested resources (“Shared Submissions”) to help colleagues learn from approaches that have worked elsewhere.
10.1 Do not include confidential or personal data
You must not include in any Shared Submission:
- confidential information belonging to your Organisation or any third party
- personal data about yourself or anyone else (including names, email addresses, identifiers, case details, or anything that could identify an individual)
- special category data (for example health or accessibility details), unless your Organisation has explicitly instructed you to do so through a controlled process
This is important because Shared Submissions may be reviewed and reused.
10.2 Review and approval before sharing
Shared Submissions are not published automatically.
Before being made available to other users, Shared Submissions may be reviewed:
- by WeChange.AI, and
- where appropriate, by the staff in your Organisation who commissioned, or are leading on, the work with WeChange.AI
10.3 Editing, anonymisation, and categorisation
We may anonymise, summarise, reformat, or edit Shared Submissions for clarity, accessibility, and safe sharing (for example removing identifiers, rewording, or shortening). We may also categorise Shared Submissions so they are shown only to relevant audiences (for example by role type or sector context).
10.4 No obligation to publish or keep available
We may choose not to publish a Shared Submission, and we may remove Shared Submissions at any time (for example where we identify a compliance risk, confidentiality concern, or quality issue).
10.5 Rights and permissions to use Shared Submissions
By submitting a Shared Submission, you confirm that:
- you have the right to share it, and it does not infringe anyone else’s intellectual property or confidentiality obligations, and
- you grant WeChange.AI a non-exclusive, worldwide, royalty-free licence to use, reproduce, adapt, publish, and share the Shared Submission for the purposes of delivering Navigator, supporting customers, and maintaining a shared examples library (including sharing across public sector users where applicable)
10.6 Withdrawal of Shared Submissions
If you want to withdraw a Shared Submission, contact your Organisation’s Navigator lead or WeChange.AI using the contact route described in the Privacy Statement. We will take reasonable steps to remove it from future circulation, noting that it may already have been viewed or copied by other users.
11. Privacy and data protection
WeChange.AI processes personal data as described in our Privacy Statement and our Documentation page (which includes additional service information).
These pages explain:
- what information we collect and why
- lawful bases for processing
- how long data is retained
- who data may be shared with
- how to raise concerns or complaints

12. Anonymised and aggregated data
We may create anonymised and aggregated information from submissions to support benchmarking, service improvement, and research, as set out in our Privacy Statement and Documentation.
13. Confidentiality
Navigator and its content, outputs, and Shared Submissions may include information intended for internal use by your Organisation (and, where applicable, other authorised organisations). You must not disclose non-public Navigator content outside your Organisation unless you are authorised to do so.
14. Intellectual property
Navigator, including its design, text, resources, structure, and underlying logic, is owned by WeChange.AI or our licensors and is protected by intellectual property laws.
We grant you a limited, non-exclusive, non-transferable right to use Navigator for internal purposes connected to your Organisation’s use of the service.
You must not:
- copy, reproduce, distribute, or resell Navigator content outside your Organisation
- use WeChange.AI branding or trademarks without written permission
15. Third-party services and links
Navigator may integrate with or link to third-party services (for example Microsoft services, learning resources, or external websites). Those third parties may have their own terms and privacy notices. WeChange.AI is not responsible for third-party services that are not operated by us.
16. Service availability, changes, and maintenance
We aim to keep Navigator available and working well. However, we do not guarantee uninterrupted access.
We may:
- update Navigator to improve performance, features, accessibility, or security
- temporarily restrict access for maintenance or incident response
- change or remove features where reasonably necessary
17. Support
Support arrangements are typically delivered through your Organisation. If you need help, follow your Organisation’s guidance, or contact WeChange.AI using the details in the Privacy Statement where appropriate.
18. Notices and communications
We may provide operational notices relating to your account or Navigator (for example security, service updates, maintenance notifications) through in-app messages and, where appropriate, via the route agreed with your Organisation.
19. No fees for end users
If Navigator is provided through your Organisation, you are not required to pay WeChange.AI to use it as an end user. Commercial terms, if any, sit between WeChange.AI and your Organisation.
20. Moderation and enforcement
To keep Navigator safe and useful, we may review, remove, or restrict access to content (including Shared Submissions) and may suspend accounts where we reasonably believe these Terms have been breached or where there is a security or compliance risk.
21. Disclaimers
Navigator provides guidance, resources, and recommendations. Outputs:
- are informational and contextual
- may not be complete or suitable for every situation
- should be used alongside your Organisation’s policies, judgement, and professional advice where appropriate
Resources and examples are provided for guidance and may change over time. You and your Organisation remain responsible for deciding what to adopt and for ensuring it aligns with internal policies and governance.
Navigator is not a substitute for legal, medical, financial, or professional advice.
22. Limitation of liability
To the fullest extent permitted by law:
- WeChange.AI is not liable for indirect, consequential, or special losses arising from your use of Navigator.
- WeChange.AI is not liable for losses caused by events outside our reasonable control, including internet failures, third-party service outages, or unauthorised access not caused by our breach.
Nothing in these Terms limits liability that cannot be limited under applicable law (for example, liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation).
23. Suspension and termination
We may suspend or terminate your access if:
- you breach these Terms
- we reasonably believe your use presents a security risk
- your Organisation requests suspension, or your Organisation’s use of Navigator ends
You may stop using Navigator at any time. Data rights are described in the Privacy Statement.
24. Changes to these Terms
We may update these Terms by publishing an updated version and changing the “Last updated” date.
If changes are material, we will take reasonable steps to notify users through Navigator or via the route agreed with your Organisation.
Continuing to use Navigator after the updated Terms are published means you accept the updated Terms.
25. Severability
If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in full force and effect.
26. No waiver
If we do not enforce a provision of these Terms, that does not mean we have waived our right to do so later.
27. Assignment
You may not transfer your rights or obligations under these Terms to anyone else. We may transfer our rights and obligations under these Terms as part of a business restructure, merger, or sale, provided this does not reduce your legal rights.
28. Third-party rights
These Terms are between you and WeChange.AI. No third party has any rights to enforce them, except where applicable law provides otherwise.
29. Governing law and jurisdiction
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from these Terms.
